Virtual Assistant

What is a virtual Assistant?

Being a virtual assistant (or VA for short), I am a self-employed professional administrator who provides administrative support to businesses, organisations and individuals. In truth anyone overwhelmed by their paperwork can use a VA who works remotely.

Social Media management

Engaging a target audience and interacting with existing or potential customers to grow a substantial following. The most crucial aspect of any social media strategy is to set S.M.A.R.T. (Specific, Measurable, Achievable, Realistic, and Timely) social media marketing goals.

Any small business needs to social media in some form, from Hootsuite to the basics of Instagram, Twitter, Facebook or LinkedIn to keep your brand alive!

Bookkeeping

Day to Day Management of Accounts

Staying on top of your business’ accounts for all transactions. Managing transactions through software, like QuickBooks. Bank feeds that link the software with your business bank account, allow you to see each transaction in real-time.

Maintain Up-to-Date and Accurate Records

Flag up any inconsistencies between the books and your business accounts, making sure you resolve problems quickly.

Accounts Payable

Oversee accounts payable. This can include anything from payment of supplier invoices, petty cash and expenses.

Invoices and Accounts Receivable

Prepare and/or check invoices and send them to your clients so you can receive payment on time. Chase up overdue payments so your records are always accurate.

Stocktaking

Produce inventory reports by counting stock items. If there are any discrepancies, report back to the business to make sure you can address problems quickly.

Keep an Eye on Cash Flow

Keep an eye on the balance of revenues to expenses, along with offering advice if the business needs more available cash to operate.

Customer Service

The 3 important qualities of customer service center around three “p’s”: professionalism, patience, and a “people-first” attitude. I have these & can confidently communicate with clients, suppliers and contractors, by telephone, email or in person. I can help in a number of ways including...

  • Mailshots - printing labels, mail merge, stuffing envelopes, posting etc.
  • Membership/Contact Management - compiling lists of information, managing the information and keeping it up to date, etc.
